Key takeaways

  • An AI voice agent holds a real two-way conversation built on your own script, FAQs and facts. It is not an IVR menu or a pre-recorded robocall.
  • The real value is speed and coverage: calling a lead minutes after the form is filled, answering after hours, and logging every outcome to your sheet or CRM.
  • Expect ₹6–8 per minute plus GST in 30-second pulses on our plans; a two-minute sales conversation costs roughly ₹12–16.
  • TRAI's commercial-calling rules and the DPDP Act apply to every business that calls customers, AI or human.
  • AI is the wrong tool for negotiation, complex complaints and high-value closing. Hand those to people.

AI calling means a software voice agent makes or answers your business phone calls, talks with the customer in their language, and records what happened. In India, where enquiries arrive at all hours from ads, forms and walk-ins, it is mostly used to call every new lead within minutes and to answer calls nobody else can pick up. This guide explains how it works, what it costs, where it fits and where it does not, based on the calls we run every day.

What is AI calling, in plain terms?

It is phone calling handled by a voice agent that listens, understands what the caller said, decides what to say next and replies in a natural voice. It works from your business facts, not a fixed recording, so it can answer questions, handle "call me later", book a slot and note the outcome without a person on the line.

What sits inside an AI voice agent

Three pieces work together on every call. Speech recognition turns the caller's words into text. A language model reads that text alongside your script, FAQs and rules, and decides the reply. A voice engine speaks the reply. Around these sit the parts that make it a business tool: the dialler, calling-hour rules, number filters, the booking calendar, and the write-back to your sheet or CRM. We explain each piece in detail in our explainer on what an AI calling agent is and how it works.

How it differs from IVR and robocalls

People often lump these together. They are different tools.

IVR Robocall AI voice agent
Direction Mostly inbound Outbound Inbound and outbound
How the caller responds Presses keys or says short commands Listens only Speaks naturally
Can answer open questions No, only fixed menu options No Yes, from your approved facts
Can book or reschedule Limited, via menus No Yes, during the conversation
Typical use Routing callers to departments Mass announcements Lead calls, reminders, front desk

IBM describes interactive voice response as an automated phone system that takes keypad (DTMF) or spoken input and routes the caller through programmed menus. That is useful for routing, but it cannot hold a conversation about a 2BHK's possession date. For a fuller comparison, read our side-by-side of AI agents, IVR and robocalls.

Why phone calls still matter in India

The phone is still the channel nearly every customer has. TRAI's yearly performance indicators for 2025-26 put India at 1,330.58 million telephone subscribers as of 31 March 2026. A lead who fills a Facebook form at 9:40 pm expects a call, not an email. The hard part is calling fast enough, in the right language, every time.

How does an AI call work from lead to CRM?

A typical outbound AI call has five stages: a lead arrives, the system checks it, the agent calls, the conversation reaches an outcome, and the result goes back to your sheet or CRM. On our platform a new lead in a connected Google Sheet is picked up within about two minutes and called soon after.

Here is the full flow, as it runs for the businesses we work with.

  1. The lead arrives. It comes from a Facebook or Instagram lead ad, a Google Sheet your funnel writes into, your CRM through a webhook, or a CSV upload. Connected Google Sheets are checked every 2 minutes.
  2. The number is checked before dialling. The platform applies your calling-hour window, runs DND checks, and filters to Indian numbers only if you ask for it. For one D2C health and wellness brand we connected, numbers typed with a "+" but no country code are flagged for the team instead of being guessed.
  3. The agent calls and opens in the right language. The first line plays in the campaign's default language, such as Kannada for a North Karnataka project or Hindi for one in Delhi NCR. Getting that default right matters: we once had an agent go silent at the start because of a wrong language setting, until it was fixed.
  4. The conversation happens in short turns. The agent speaks one or two sentences, gives one number per turn, then stops and listens. It answers from the facts locked to that project, handles objections it has been given answers for, and switches language only when the caller speaks a full sentence in another one.
  5. The call reaches an outcome. That might be a site visit booked, a demo scheduled, a call-back at the time the customer asked for, "not interested", or "wrong number". The agent says goodbye, and the platform holds the hang-up until the goodbye has finished playing.
  6. The result is written back. Status, outcome, appointment and last-called time go into your Google Sheet or CRM. Columns your team typed into are protected from being overwritten.
  7. Follow-up and records. A WhatsApp message can go out through your own WhatsApp provider (BSP). The recording, transcript and call summary are saved, and a daily report arrives by email.

What your team sees during and after calls

Your sales manager can open the live monitor, listen to a call in progress, whisper guidance to the agent, or take the call over. After the day, they read summaries instead of listening to every recording, and pick up only the leads that need a person.

A real example: plotted development in North Karnataka

Koravi Developers, a plotted-development company in North Karnataka, gets enquiries from Facebook and Instagram ads, brochures, events and walk-ins. Their AI agents call those enquiries in Kannada, Hindi and English and book site visits. The site is open Monday to Saturday, and pickup is offered from fixed points in town, so the agent offers those options on the call. Each project has its own agent with its own locked facts. We set it up that way after an early version, where one agent loaded facts from several projects, mixed up prices and locations between them. The lesson stuck: one project, one agent, one set of facts.

Inbound vs outbound calls: which do you need first?

Outbound means the agent dials your leads or customers: new enquiries, reminders, confirmations, invitations. Inbound means the agent answers calls coming in to your number, as a receptionist or after-hours line. Most businesses start with outbound speed-to-lead and add an inbound line once they see missed calls.

Outbound: calling every lead fast

Outbound is where most of the volume sits. On our platform, between May and October 2026, 42,879 of 47,731 calls handled were outbound, across several Indian businesses (mostly real estate, also health and wellness and B2B). Typical outbound jobs:

  • First call to a new ad lead within minutes
  • Re-calling leads who asked for a call-back at a specific time
  • Appointment, site-visit and demo reminders
  • Event invitations, such as the Kannada-only invitation campaign we ran for Koravi's Bhoomi Pooja (ground-breaking) event

Inbound: the AI receptionist and after-hours line

Inbound calls are fewer but often warmer, because the customer chose to call. In the same period we handled 4,852 inbound calls. Koravi added an after-hours front-desk line: a separate agent that never gives project details, only takes the caller's name, interest and preferred call-back time, and promises a call from the project team. For the Bhoomi Pooja campaign, a separate inbound agent answered people who called back the invitation number.

Outbound Inbound
Who starts the call Your agent The customer
Main goal Reach every lead fast, qualify, book Never miss a call, capture details, route
Typical trigger New row in sheet, ad lead, CRM webhook Customer dials your number
Main risk Calling at bad hours or poor lists Agent saying too much or too little
Good first metric Share of leads called within minutes Share of calls answered and logged

Which one to start with

If your ads bring in more leads than your team can call the same day, start outbound. If you miss calls in the evenings, on Sundays or during site visits, start inbound. Many teams run both, each with its own agent and rules.

Which Indian industries use AI voice agents, and for what?

AI voice agents fit any business where many similar phone conversations happen and speed matters: real estate, healthcare, education, lending, insurance, D2C, solar, recruitment and hospitality. The common thread is a repeatable call with a clear outcome, such as a booked visit, a confirmed order or a qualified enquiry.

Our own deployments are mostly in real estate, with health and wellness and B2B as well. The table below shows how the same building blocks map to different industries; the jobs listed are typical uses, not results.

Industry Typical AI calls Outcome the agent captures
Real estate First call to ad leads, site-visit booking, event invites Visit date, pickup point, budget, project interest
Healthcare clinics Appointment reminders, after-hours enquiries Confirmed, rescheduled or cancelled slot
D2C and e-commerce Order and COD confirmation, funnel lead calls Confirmed order, call-back time, interest level
Education and coaching Admission enquiry follow-up Course interest, counselling slot
Lending and insurance Renewal and payment reminders, lead qualification Intent, call-back time, human hand-off
Solar and home services Lead qualification Roof type, location, survey slot
Recruitment Candidate screening Availability, notice period, interview slot

Real estate: the clearest fit

Real estate shows why speed matters. Leads come in from ads at all hours, the first developer to call often gets the site visit, and the questions repeat: price, location, approvals, possession, visit timings. See how this works in practice on our real estate industry page.

D2C and health and wellness

For a D2C health and wellness brand, funnel leads land in a Google Sheet, which held about 1,500 rows when we connected it. The sheet was shared privately with our service account as an Editor, never made public. Only Indian (+91) numbers are called, and each call's result is written back into four new columns so the team sees outcomes beside their existing data.

Which languages can an AI caller handle?

A good AI caller in India should handle at least Hindi, English and Hinglish, plus the regional language of your customers. Ours speak Hindi, English, Hinglish, Kannada, Marathi, Tamil, Telugu and Bengali, open in the campaign's default language, and switch only when the caller speaks a full sentence in another language.

Why regional languages are not optional

Hindi is the largest mother tongue in India, but not the majority one. Census 2011 data, summarised by Factly, shows 43.63% of Indians reported Hindi as their mother tongue, followed by Bengali (8.03%), Marathi (6.86%), Telugu (6.7%) and Tamil (5.7%). A plot buyer in Dharwad or a parent in Coimbatore will often relax the moment the caller speaks their language.

What good language handling sounds like

From the sales manager who tests our calls, we learned three things that matter more than voice quality:

  • Switch on a sentence, not a word. An agent that says the same line in two languages back to back sounds broken. Ours switches only when the caller speaks a full sentence in another language, not on a stray "hello" or "haan".
  • Respect forms of address. Calling a woman "Sir" again and again is a real failure on Indian calls. Our agents use the person's name with "ji" or "avare" and never assume gender.
  • Keep turns short. Long monologues feel rushed even when the voice speed is fine. One or two sentences, one number per turn, then let the customer speak.

How much do AI calls cost in India?

Most AI calling services in India charge per minute of connected talk time, plus a setup fee and a monthly minimum. On our plans, minutes cost ₹6–8 plus 18% GST, billed in 30-second pulses, with unanswered calls not billed. A two-minute sales conversation costs roughly ₹12–16; a short confirmation call ₹3–8.

Our plans at a glance

All prices are plus 18% GST.

Plan One-time setup Monthly minimum Per minute Agents included
Starter ₹25,000 3,000 min (₹24,000) ₹8 1
Growth ₹50,000 5,000 min (₹35,000) ₹7 2
Scale ₹1,00,000 10,000 min (₹65,000) ₹6.50 4
Enterprise ₹2,00,000 15,000 min (₹97,500) ₹6.50 6

Phone numbers cost ₹2,000 per number per month. Integrations, extra agents and support response times differ by plan; the full details are on our pricing page.

How to estimate your own monthly bill

Take the number of leads you expect to reach each month, multiply by the average conversation length, and round up to 30-second pulses. Say a coaching institute gets 600 enquiries a week, roughly 2,600 a month. If about 60% connect for a two-minute conversation, that is around 1,560 conversations and 3,100 minutes, just above the Starter minimum. Re-calls and reminders add to this. How it compares with a telecaller

A per-minute price is easy to compare with a salary, but that comparison misses half the picture: speed, after-hours cover, peaks and language range on one side; judgement and relationships on the other. We break down the numbers with real Indian salary data in our comparison of AI agents and telecallers.

It is legal, but commercial calls, whether made by a person or an AI, must follow TRAI's Telecom Commercial Communications Customer Preference Regulations (TCCCPR) and, for personal data, the Digital Personal Data Protection Act, 2023. Registration, number series, consent, DND preferences and auto-dialer disclosure are the points to get right.

What TRAI requires

TRAI's February 2025 amendment to the TCCCPR keeps the 140 series for promotional calls, introduces the 1600 series for transactional and service calls, extends the customer complaint window to 7 days, and requires senders to disclose the use of auto-dialers and robocalls. A July 2026 TRAI clarification, reported by SCC Online, says the 1600 series is for service and transactional calls from RBI, SEBI, IRDAI and PFRDA-regulated entities and government, while 140 is for promotional calls from all sectors.

Earlier, in August 2024, TRAI directed operators to stop promotional voice calls from unregistered senders using SIP/PRI or other resources, "whether pre-recorded or computer generated or otherwise", with disconnection and blacklisting for up to two years for misuse.

What the DPDP Act adds

The government notified the DPDP Rules on 14 November 2025, with an eighteen-month period for phased compliance. Consent notices must be clear, and people can withdraw consent. That shapes how you collect leads, store recordings and respect "don't call me again".

This is general information, not legal advice. For the full picture, read our legal guide to automated calls in India and check your specific setup with your counsel.

How do you get started, step by step?

Start with one use case, one lead source and one agent. Gather your real facts, connect the leads, test with your own sales manager on real phones, then go live on a small share of leads and review recordings daily before scaling. Most early problems show up in the first fifty calls.

  1. Pick one job. "Call every new Facebook lead for Project A and book a site visit" is a job. "Automate our calling" is not.
  2. Write down the facts the agent may use. Prices, locations, timings, offers, pickup points, the questions customers ask most, and what the agent must never say. Keep one set of facts per project or product.
  3. Decide the rules. Default language, calling hours, which numbers to call, how many retries, when to hand off to a person, and what counts as a booked outcome.
  4. Connect the lead source and the results sheet. A private Google Sheet shared with a service account, your CRM, or ad leads. Agree which columns the agent writes and which belong to your team.
  5. Test with the person who knows your customers. Your sales manager should call the agent, interrupt it, ask awkward questions and switch languages. Fix what sounds wrong.
  6. Go live on a slice. Run a few days on part of your leads. Listen to recordings, read summaries, and check that booked visits actually show up.
  7. Scale and add. Increase volume, then add a second agent for another project or an inbound after-hours line.

If you would rather not run this in-house, a done-for-you provider handles the build, connection, testing and running of calls, and gives your team a dashboard.

When to call: what our data suggests

Across 42,879 outbound calls from May to October 2026, we used "call lasted 15 seconds or more" as a rough proxy for a real connection. About 61% of outbound calls passed that bar. By hour (IST), 10–11 am was lowest at about 52–54%, 12–3 pm about 61–65%, and 3–6 pm about 59–64%. By day, Thursday (about 68%) and Wednesday (about 65%) were highest, Saturday (about 53%) and Sunday (about 56%) lowest.

Treat these numbers with care. They mix campaign types, including many short scripted event invitations; call duration is a proxy, not a verified human pick-up rate; and results vary by industry, list quality and time of day.

Pro tip

Don't push all your retries into the morning. Schedule the first call as soon as the lead arrives, but put second and third attempts in the early afternoon and midweek, then compare your own connection rates by hour after a month. Your list will tell you more than any benchmark.

Common setup mistakes

Most failures come from setup choices, not the technology: mixing facts across projects, scripts written as speeches, wrong default language, calling at poor hours, and no human follow-through on what the agent books. Each of these is easy to fix once you know to look for it.

  • One agent for many projects. Prices and locations get mixed. Give each project its own agent and locked facts.
  • Long monologues. Customers feel rushed and interrupt with "hello?", and a naive agent then repeats its whole line. Shorter turns cure most of it.
  • Assuming gender. "Sir" to a woman, repeatedly, loses the call. Use names with "ji" or "avare".
  • Wrong opening language. If the first line is in the wrong language, or the language setting is broken, the call fails in the first five seconds.
  • Hanging up mid-goodbye. It feels rude. Make sure the hang-up waits for the goodbye to finish.
  • Publishing your lead sheet. Share it privately with the calling service account. Never make it public to "make the integration work".
  • Guessing phone numbers. A number with a "+" but no country code should be flagged for a person, not guessed.
  • No one owns the booked visits. The agent can book a Saturday visit; someone still has to confirm the pickup and meet the family.

Where AI agents fall short

An AI agent is the wrong tool when the conversation needs judgement, negotiation or empathy beyond a script: price bargaining on a high-value deal, an angry complaint, a sensitive health or money conversation, or a cold list without consent. It also cannot fix poor leads, unclear offers or a team that never follows up.

Calls you should keep with people

  • Final negotiation and closing on large tickets
  • Escalated complaints and disputes
  • Sensitive conversations, such as medical results or bereavement
  • Relationship calls with your top customers

Honest technical limits

Phone audio in India varies: noisy streets, weak networks, speakerphones in moving autos. An agent will occasionally mishear a name or a number, which is why outcomes are logged with recordings and transcripts you can check. A customer who simply wants a human should get a call-back from your team, and the agent should offer that without arguing.

The right mental model

Think of an AI agent as your fastest, most consistent first caller, not a replacement for your best salesperson. Whether you build it yourselves, pick a self-serve platform or hire an AI calling company to run it, start from that model. Any AI voice agent India businesses deploy works best doing the first call and the reminders, with people doing the closing.

AI calling works when it is set up around your real facts, your customers' languages and a clear outcome for every call. If you want to hear what that sounds like for your business, book a 20-minute demo — we'll call your phone with an agent set up for your business.

Frequently asked questions

What is AI calling?

AI calling is phone calling done by a software voice agent that listens, understands and replies in natural speech. It can call new leads, answer incoming calls, qualify interest, book appointments and log the outcome to your sheet or CRM. Unlike an IVR menu or a pre-recorded robocall, the agent holds a two-way conversation built on your own script, FAQs and facts.

How much does AI calling cost in India?

At DigitalCallers, calls are billed at ₹6–8 per minute plus 18% GST depending on the plan, in 30-second pulses, and unanswered calls are not billed. There is a one-time setup fee from ₹25,000 and a monthly minimum from 3,000 minutes. A two-minute sales conversation works out to roughly ₹12–16; a short confirmation call to ₹3–8.

Which languages can an AI calling agent speak in India?

Our agents speak Hindi, English, Hinglish, Kannada, Marathi, Tamil, Telugu and Bengali. The call opens in the default language you choose for that campaign, and the agent switches only when the caller speaks a full sentence in another language. It does not flip on a stray 'hello' or 'haan', which avoids the broken back-and-forth that callers dislike.

Is AI calling legal in India?

AI calling is not banned in India, but commercial calls fall under TRAI's TCCCPR rules, which cover registration, number series (140 for promotional, 1600 for service and transactional calls from regulated entities), consent and the use of auto-dialers and robocalls. Personal data handling falls under the DPDP Act. This is general information, not legal advice.

Will AI calling replace my sales team?

No, and it should not try to. AI calling is best at the first call within minutes, reminders, confirmations, after-hours answering and repetitive qualification. People are still better at negotiation, complex objections and closing high-value deals. The usual setup is AI for speed and coverage, with qualified and booked leads handed to your team.

How long does it take to start AI calling?

The work is mostly in gathering your facts, connecting your lead source and testing. You share your script, FAQs, prices and rules; we build the agent, connect it to your sheet, CRM or ad leads, and test it with your team on real phones. Going live on a small slice of leads before scaling is the safest path.
