1. Who we are

DigitalCallers is an AI calling platform operated by Clicks Bazaar Pvt. Ltd. ("we", "us"), a company incorporated in India with its office in Gurugram, Haryana. This policy covers the public website (digitalcallers.com), the customer dashboard (app.digitalcallers.com) and the calls our customers place or receive through the platform.

Questions, requests and complaints about personal data: support@digitalcallers.com (subject line: "Privacy request"). We reply within 7 working days.

2. Two roles, two kinds of data

We handle personal data in two capacities, and the rules differ:

  • As a Data Fiduciary for people who visit this website, book a demo, or hold a DigitalCallers account (our customers and their team members). We decide why and how that data is used.
  • As a Data Processor for the people our customers' AI agents call or answer ("call recipients"). Our customer is the Data Fiduciary for that data; we process it only on their instructions, under our Data Processing Addendum. If you received a call from a business using DigitalCallers, that business controls your data and is your first point of contact; we will help route your request to them.

3. What we collect and why

3.1 Website visitors and demo requests

  • Contact form: name, work email, phone, company, role, industry, city and anything you type in the message box. Used to reply to you and to prepare the demo. Stored in our leads database and emailed to one founder inbox.
  • Analytics: we use Google Analytics 4 to understand which pages are read. It sets cookies and records an anonymised view of your visit (pages, approximate location, device). You can block it with a browser setting or extension; the site works without it.
  • Server logs: IP address, user agent, requested URL and timestamp, kept for security and debugging for up to 90 days.

3.2 Customers and their users

  • Account data: name, email, phone, company, GST details and billing address, login credentials (passwords are hashed, never stored in clear).
  • Payment data: payments are processed by Razorpay. We receive the transaction reference, amount and status; we never see or store your card, UPI or bank credentials.
  • Usage data: what you configure (agents, scripts, numbers, integrations), activity logs of changes made in the dashboard, and support conversations.

3.3 Call recipients (processed for our customers)

  • Lead and contact details the customer uploads or connects (name, phone number, the form or sheet fields they choose to share).
  • Call data: call metadata (numbers, time, duration, outcome), the audio recording, a transcript and an AI-generated summary of the call. Recording and transcription are standard on the platform because the customer needs them to review quality and resolve disputes; the agent states that the call is recorded where the customer's script requires it, and the customer is responsible for the lawful basis and notice to the recipient.
  • Follow-ups: WhatsApp or SMS messages the customer configures to be sent after a call, sent through the customer's own messaging provider.

4. How calls are processed (the AI part, in plain words)

During a call the audio is streamed in real time to a speech-and-language model so the agent can listen and reply. Today that model is provided by Google (Gemini). Audio is transmitted over the telecom carrier and a real-time media service; recordings and transcripts are stored on our servers in India. We do not use customer calls to train our own models, and our AI providers are used under business terms that do not permit them to train on this data.

5. Where data is stored

Platform data (accounts, recordings, transcripts, leads) is stored on servers located in India (Bengaluru region). Some sub-processors (listed in the DPA) process data in transit outside India where their service requires it, for example real-time speech processing. We keep the list of sub-processors current in the DPA.

6. How long we keep it

  • Call recordings and transcripts: 90 days by default; the customer can set a shorter retention period per account (down to 7 days) and can delete individual recordings at any time. After the retention period the audio is purged automatically.
  • Lead and contact data uploaded by a customer: for as long as the customer's account is active, or until the customer deletes it.
  • Account and billing records: for the life of the account plus the period Indian tax and company law requires (currently 8 years for invoices).
  • Demo requests: up to 24 months, unless you ask us to delete them sooner.

7. Protecting the data

  • Phone numbers, email addresses, Aadhaar and PAN patterns are redacted from stored transcripts before they are written to the database.
  • Each customer's data is separated at the account level; one customer can never see another customer's calls, leads or agents.
  • Encryption in transit (TLS) for the website, the dashboard, the API and webhooks; webhooks are signed so the receiver can verify they came from us.
  • Role-based access inside the dashboard, an activity log of every change, and administrative access restricted to named staff.
  • Deletion is soft-delete first with a recovery window, then permanent purge, so an accidental click does not destroy data.

8. Who we share data with

We do not sell personal data and we do not share it with advertisers. We share it only with service providers that help us run the platform (telecom carriers, speech and language model providers, real-time media infrastructure, cloud hosting, payment processing, transactional email), with our customer when we are processing on their behalf, and with authorities when the law requires it. Each provider is bound by contract to use the data only for the service they provide. The current list is in the DPA.

9. Your rights

Under the DPDP Act, 2023 you can ask us for a summary of the personal data we hold about you, ask us to correct or delete it, withdraw consent where processing is based on consent, and nominate someone to exercise these rights for you. Email support@digitalcallers.com from the address we hold for you, or write to our office. If you are a call recipient, tell us which business called you and we will forward the request to them and help them act on it. If you are not satisfied with our response you may complain to the Data Protection Board of India.

10. Do-not-call and consent for calls

Our customers' outbound campaigns must follow TRAI's Telecom Commercial Communications Customer Preference Regulations. The platform scrubs numbers registered on the national DND registry, restricts calling to permitted hours, and records the opening consent line where the customer's script includes one. If you want a specific business to stop calling you, say so on the call (the agent records it) or write to us and we will pass it to the customer and add the number to their suppression list.

11. Children

Our services are for businesses. We do not knowingly collect data from anyone under 18, and our customers must not run campaigns aimed at children.

12. Cookies

The website sets analytics cookies (Google Analytics) and the dashboard sets a session cookie needed for login. We do not use advertising cookies.

13. Changes

When we change this policy we update the date at the top; material changes are also emailed to account owners. Continued use of the service after a change means you accept the updated policy.
