SOLUTION
Traditional IVR systems make callers listen to a menu, press a number, then listen to another menu. Many give up before they reach anyone. A conversational IVR answers with a question, "How can I help?", understands the reply in Hindi, English or a regional language, and then answers it, books it, or puts the caller through to the right person.
AT A GLANCE
USE CASES
The caller says "I want to reschedule my appointment" or "order kab aayega" and the line knows where to take it.
Timings, prices, locations, documents needed, order status from your system: answered on the call, no queue.
Appointments, site visits, service slots and demos booked or moved during the call.
Complaints, special requests or VIP callers are routed to the right person or given a call-back with notes.
The line keeps answering at night and on Sundays, and your team starts the morning with a list of who called and why.
FEATURES THAT MATTER HERE
Callers speak normally. No "press 3 for billing", no repeating the whole menu because they missed an option.
Hinglish, regional accents, half-sentences and people talking over the prompt. It switches to the caller's language when asked.
It answers from the information you approve. Anything outside that gets a call-back from your team, not a guess.
Forward your existing business number to the line, so customers keep dialling the number they already know.
Name, number, reason for calling, what was promised, recording and transcript, delivered to your sheet or CRM.
MENU IVR VS CONVERSATIONAL IVR
| Menu (DTMF) IVR | Conversational IVR | |
|---|---|---|
| How callers choose | Press keys from a fixed menu | Say what they want in their own words |
| Questions it can answer | Only recorded messages | Anything in your approved facts, phrased naturally |
| Languages | One recording per language, chosen by key press | Switches when the caller asks |
| After hours | "Our office is closed" | Answers, books and takes messages |
| What you learn | Which key was pressed | Why each person called, in their words |
WHEN TO KEEP A MENU
If nearly every caller wants one of three things and just needs to be routed to a department, a short key-press menu is cheap and fast, and many telephony providers do it well. A conversational IVR earns its cost when callers ask questions, when many calls come after hours, or when people regularly give up in the menu.
The two also work together: some businesses keep a one-line menu ("press 1 for sales, 2 for support") and send the sales line to the AI, which answers enquiries and books visits. For the front-desk version of this, see our AI receptionist; for how AI differs from IVR and robocalls in general, read AI calling vs IVR vs robocalls.
