Part of our guide: AI Calling for Real Estate in India: Enquiry to Site Visit Playbook

Key takeaways

  • Ask for the visit on the first call. Three or four questions are enough before you offer two slots.
  • Keep every turn to one or two sentences and one number at a time, then stop and let the buyer speak.
  • Use the buyer's name with "ji" or "avare". Never assume gender, and never call a woman "Sir".
  • Lock day, time and pickup point, repeat them back once, and send a WhatsApp confirmation.
  • Reminder calls are cheap (₹3–8 each on our plans) and catch the "something came up" buyers before they become no-shows.

Site visit booking is where most real estate leads are quietly won or lost. A buyer who fills a form at 9 PM is curious that night; by the weekend they have spoken to four other builders. This guide shows how we get a firm date, time and pickup point on the first call, the script turns that work in Indian calls, and the reminders that bring buyers to the site.

Why should you book the site visit on the very first call?

Because interest is highest in the first few minutes after an enquiry, and a booked visit turns curiosity into a commitment with a date on it. If the first call ends with "I'll send you details", the buyer compares brochures instead of visiting.

The market is also more selective than it was. ANAROCK Research, reported by Business Today, put 2025 housing sales in India's top seven cities at around 3.96 lakh units, down 14% from 2024, even as sales value rose 6% to over ₹6 lakh crore. With fewer buyers moving, each enquiry you reach first matters more.

Our agents call as soon as a lead lands: a connected Google Sheet is checked every two minutes, and Facebook and Instagram lead ads, CRM webhooks and CSV uploads feed the same queue. The wider cadence is in our real estate lead follow-up guide; here we stay on the first call.

What does a good real estate site visit script sound like?

A good real estate site visit script is short, polite and turn-based. Each turn carries one idea and at most one number, then waits. The agent greets by name, confirms the enquiry, asks a few questions, offers two slots, confirms pickup and says a clear goodbye. Long monologues lose buyers even when the voice sounds natural.

We learned this from a sales manager who tests our calls. Long paragraphs felt rushed even at a normal voice speed, and when a buyer said "hello?" mid-sentence, an agent with long lines restarted the whole paragraph. Shorter turns cured most of that.

Here is a hypothetical example for a plotted project. The project name and price are placeholders.

Turn Agent says (example) Why it is written this way
1 "Namaskara, Ramesh avare. I'm calling from Green Acres about the plot enquiry you sent today." Name with "avare", no "Sir", and the reason for the call in one breath
2 "Is this a good time for two minutes?" Permission first; if no, book a call-back time
3 "Are you looking for a plot to build a home, or as an investment?" One question per turn
4 "Plots here start at 18 lakh." One number per turn, then stop
5 "The site is open Monday to Saturday. Would Thursday or Saturday morning suit you?" Two concrete options instead of "when are you free?"
6 "We also have pickup from the bus stand. Shall I book that for you?" Removes a practical reason people skip the visit
7 "So that's Saturday, 11 AM, pickup from the bus stand. I'll send this on WhatsApp now." Repeat back once, no more
8 "Thank you, Ramesh avare. See you on Saturday. Have a good day." A real goodbye before the line closes

Language and tone rules that matter in India

The opening line must be in the campaign's default language; in one early setup, a wrong default made the agent go silent until we fixed it. After that, the agent switches only when the caller speaks a full sentence in another language, not on a stray "hello" or "haan". Saying each line twice, once per language, sounds broken. Which questions should you ask before offering a slot?

Ask only what changes the visit: what they want (plot, flat, villa), budget range, self-use or investment, and whether they need pickup. Those answers tell your site team which plots or units to show and who to send. Everything else, such as loan eligibility or family details, can wait for the visit itself.

Questions worth asking on the first call

  • What are you looking for? Plot size, flat configuration or villa, so the site team knows what to show.
  • What budget range are you comfortable with? Ask for a range; people answer ranges more honestly.
  • Is this for your own home or investment? Investors care about appreciation and resale; families care about schools, water and road access.
  • Will you need pickup? For a site outside town, this is often the deciding question.

Leave loan amounts, income and "who else are you considering" for the visit; from a stranger on the phone they feel intrusive.

A confirmed visit has three parts: a day on the calendar, the car keys, and a family that remembers to come.

How do you lock the date, time and pickup on the call?

Offer two specific slots, confirm the day the site is actually open, settle the pickup point, repeat the plan once and send it on WhatsApp straight away. The booking only counts once it is written into your sheet or CRM where the sales team will see it. A verbal "yes" with no record is not a property site visit booking.

This is the sequence we set up for each project:

  1. Offer two slots, not an open question. "Thursday or Saturday morning?" gets a decision. "When are you free?" gets "I'll let you know".
  2. Check the day against the site calendar. For our client Koravi Developers, the site is open Monday to Saturday, so the agent never offers Sunday. A booking on a closed day is worse than no booking.
  3. Confirm pickup and the exact point. Koravi offers pickup from fixed points in town. The agent names the point instead of asking the buyer to describe one.
  4. Repeat the plan back once. Day, time, pickup point. Once is reassuring; twice sounds like the agent did not listen.
  5. Write the result to the sheet. Status, outcome, appointment time and last-called time go back into the customer's Google Sheet, with protection against overwriting what the sales team typed.
  6. Send a WhatsApp confirmation. Sent through the client's own WhatsApp provider, so the buyer has the details in writing and can forward them to family.

Every project gets its own agent with its own locked set of facts. We introduced this after an early setup where one agent loaded facts from several projects and mixed up prices and locations between them. Our appointment setter feature explains how bookings and call-backs are handled.

How do reminder calls reduce site visit no-shows?

A short reminder the day before catches buyers whose plans changed and gives them an easy way to reschedule instead of simply not turning up. It also reconfirms pickup, a common practical reason people miss a visit. Reminders do not guarantee attendance, but they turn silent no-shows into rescheduled visits you can plan around.

We have not found published research on site visits specifically; the closest strong evidence is from healthcare. A Cochrane review of eight randomised trials with 6,615 participants found attendance of 78.6% with text reminders against 67.8% with no reminder, and phone-call reminders had a similar effect to texts. A clinic appointment is not a site visit, but the mechanism, people forgetting or quietly changing plans, is the same.

A reminder plan you can start with

When Channel What it says Purpose
Right after booking WhatsApp Day, time, pickup point, site location pin Written record the family can see
Day before Short call "Just confirming tomorrow, 11 AM, pickup from the bus stand. Still good?" Catch changes, offer a new slot
Morning of the visit WhatsApp Pickup time and driver contact Practical help on the day
If they do not come Call later that day "We missed you today. Shall we book another day?" Rebook instead of losing the lead

When to place the reminder call

Our platform data from May to October 2026 gives a rough guide. Across 42,879 outbound calls, the share lasting 15 seconds or more was about 61–65% between 12 and 3 PM, against 52–54% between 10 and 11 AM. Thursday (about 68%) and Wednesday (about 65%) were the best days; Saturday (about 53%) and Sunday (about 56%) the weakest. Treat this as directional: it mixes campaign types, 15 seconds is only a proxy for a real conversation, and results vary by industry, list quality and time of day. For a Saturday visit, a Friday afternoon call plus a Saturday morning WhatsApp is usually safer than a Saturday call alone.

A reminder call that ends in under a minute costs roughly ₹3–8 on our plans, billed in 30-second pulses, and unanswered calls are not billed. See pricing for plan minimums.

Pro tip

Put the pickup point in the day-before reminder, not just the time. "Pickup from the bus stand at 10:30" turns an appointment into a plan for the morning.

What should happen when the buyer is not ready to visit?

Book a call-back at the exact time they ask for and log the reason. "Call me after Diwali" or "my husband decides, call on Sunday evening" is useful information, not a rejection. The agent schedules the call-back, the sheet records it, and the next call opens by referring to that conversation.

Calls also come in at night, when people see an ad and ring the number. Koravi added an after-hours front-desk line for this: a separate agent that never gives project details, only takes the caller's name, interest and preferred call-back time, and promises a call from the project team.

Common mistakes that kill site visit bookings

Most lost bookings come from a handful of avoidable errors rather than from the offer itself: monologues, the wrong form of address, facts from the wrong project, vague slots and abrupt endings. Fix these in the script and the setup before you change the price, the brochure or the ad creative.

  • Reading a brochure aloud. Five features in one turn and the buyer remembers none.
  • Two numbers in one sentence. "Plots from 18 lakh, 30 by 40, 12 km from town" is three numbers. Say one, then pause.
  • Calling every buyer "Sir". In Indian calls this is a real failure when a woman answers. Use the name with "ji" or "avare".
  • Mixing projects. One agent holding several projects' facts will eventually quote the wrong price.
  • Hanging up mid-sentence. Our platform now holds the hang-up until the goodbye has finished playing because an abrupt cut feels rude.

AI calling is the wrong tool for final negotiation, detailed title or legal questions, or anyone who asks for a person. Those go to your team, and a manager can listen in or take over a live call.

Making site visit booking part of every first call

Treat the visit as the planned outcome of the first conversation, not a hope for the third. Short turns, the buyer's name, two clear slots, pickup sorted, a WhatsApp confirmation and a reminder the day before will not convert every lead, but they stop good leads slipping away for avoidable reasons.

Frequently asked questions

How soon should we call a new property enquiry to book a site visit?

As soon as you can, ideally within minutes of the form coming in, while the buyer still remembers the ad and has the phone in hand. Our platform checks a connected Google Sheet every two minutes and can call Facebook and Instagram lead-ad enquiries as they arrive, so the first call happens before the lead has spoken to three other developers.

How many questions should the agent ask before offering a site visit slot?

Keep it to three or four at most. Budget range, what they are looking for (plot, flat, villa), whether it is for self-use or investment, and whether they need pickup are usually enough. Anything more feels like a form being read aloud, and the buyer hangs up before you reach the slot.

Can an AI agent book site visits in Kannada or Hindi?

Yes. Our agents speak Hindi, English, Hinglish, Kannada, Marathi, Tamil, Telugu and Bengali, and switch when the caller speaks a full sentence in another language. For a plotted-development client in North Karnataka, agents call enquiries in Kannada, Hindi and English and book site visits on the call.

How many reminders should we send before a site visit?

Most teams do well with three touches - a WhatsApp confirmation right after booking, a short reminder call the day before, and a WhatsApp message on the morning of the visit with the pickup point. More than that starts to feel like pressure. Adjust based on what your own no-show records show.

What does a site visit reminder call cost?

A short confirmation or reminder call that finishes in under a minute costs roughly ₹3 to ₹8 on our plans, because billing is in 30-second pulses and unanswered calls are not billed. A full two-minute qualifying conversation costs roughly ₹12 to ₹16. All prices are plus 18% GST.
