Part of our guide: How to Choose an AI Calling Company in India: A Buyer's Checklist
Key takeaways
- A proper managed service builds the agent on your scripts and facts, connects your leads and numbers, tests with your team, then runs and reports on the calls.
- Phone numbers, extra agents, integrations, WhatsApp provider charges and 18% GST are the usual extras. Ask for each in writing.
- The billing unit matters as much as the rate: pulse length, and whether unanswered calls are charged.
- Insist on a test call to your own phone, per-project locked facts, live monitoring and written support response times.
Most AI calling services in India quote a per-minute rate and a setup fee, and the real differences hide in everything around those two numbers: who writes the script, who tests it, who fixes it when callers get confused, and which items turn up later as extras. We run outbound and inbound calls for Indian businesses every day, so this is the checklist we would want if we were buying.
What do AI calling services actually include?
A complete AI calling service covers five jobs: building the agent on your own scripts and facts, connecting it to your lead sources and phone numbers, testing it with your team, running the calls every day, and reporting what happened on each call. If any of these five is missing, you are buying software, not a service.
Here is how we break it down, and what we think should be standard.
Building the agent
The agent is only as good as what it knows. A real build starts with your sales script, your FAQs, price lists, locations, timings and the questions your team hears every week. The provider turns that into short, natural turns of conversation. We learned from a sales manager who tests our calls that long monologues feel rushed even when the voice speed is fine, so we keep each turn to one or two sentences and one number at a time.
Languages and voice
For a business in India, language set-up is part of the build, not an add-on. Our agents work in Hindi, English, Hinglish, Kannada, Marathi, Tamil, Telugu and Bengali, and switch only when the caller speaks a full sentence in another language. The opening line also needs the right default language: in one early setup, a wrong language setting at the very start made the agent go silent until it was fixed.
Connecting leads and numbers
The service should pull leads from where they already land: Google Sheets (we check every 2 minutes), Facebook and Instagram lead ads, your CRM or webhooks, or CSV uploads. It should also write results back. For a D2C wellness brand, we connected a private Google Sheet of about 1,500 rows, shared only with our service account as Editor, called Indian (+91) numbers only, and wrote each call's outcome into four new columns.
Running and reporting
Once live, you should get recordings, transcripts, call summaries and a daily report by email, plus calling-hour windows, DND checks and appointment booking on the call.
| Item | Should be included | Often extra | What to ask |
|---|---|---|---|
| Script and FAQ build | Yes | Sometimes billed as "setup" | Who writes it, and how many revisions? |
| Languages | Yes, for your region | Premium voices on some platforms | Which languages are tested, not just listed? |
| Lead source connection | Basic (Sheets, CSV) | CRM integrations | How fast are new leads called? |
| Phone numbers | No | Yes, monthly rental | Price per number per month |
| Extra agents (projects/products) | Plan allowance | Yes | Price per additional agent |
| Recordings, transcripts, reports | Yes | Rarely | How long are recordings kept? |
| Live monitoring and takeover | Should be | Sometimes | Can we whisper and take over? |
| WhatsApp follow-up | Feature yes | Message charges via your BSP | Whose WhatsApp account sends it? |
What is usually extra with an AI calling service in India?
Expect four kinds of extras with an AI calling service in India: one-time setup, per-item charges (phone numbers, extra agents), integrations beyond the basics, and third-party charges such as WhatsApp messages from your own provider. GST at 18% sits on top of all of it. None of these is a problem once it is written down.
To make it concrete, here is how our own plans and prices handle extras (all + 18% GST):
- Setup: ₹25,000 (Starter), ₹50,000 (Growth), ₹1,00,000 (Scale), ₹2,00,000 (Enterprise), one time.
- Phone numbers: ₹2,000 per number per month on every plan.
- Monthly bundles: 3,000 minutes at ₹8 (Starter), 5,000 at ₹7 (Growth), 10,000 at ₹6.50 (Scale), 15,000 at ₹6.50 (Enterprise); bundles are prepaid and minutes expire monthly.
- Extra agents: ₹25,000 each on Starter and Growth, ₹20,000 each on Scale and Enterprise (Enterprise includes six agents).
- Integrations: none included on Starter, 1 on Growth, 2 on Scale, up to 5 on Enterprise.
- Support speed: reply within 1 working day on Starter, 8 working hours on Growth, 4 working hours plus a monthly review on Scale, and a named manager with critical issues answered within 1 hour on Enterprise.
Self-serve platforms list extras differently. Retell AI's public pricing page, for instance, prices voice infrastructure, text-to-speech, the language model and telephony as separate per-minute lines, and lists add-ons such as branded caller ID per outbound call, batch calling per dial and extra concurrent calls per month. That is a fair, transparent model for teams that build their own agents. It just means "per-minute price" on two websites can describe very different bundles. Our breakdown of what AI calling costs in India compares the models side by side.
The billing unit is a hidden "extra"
Two services with the same rate can bill very differently. We bill in 30-second pulses and do not bill unanswered calls, so a 45-second confirmation call counts as one minute and a 70-second call as one and a half. A provider that rounds every call up to a full minute would bill that 70-second call as two. Indian telephony providers commonly use pulses too; Plivo's India voice pricing, for example, states a 30-second pulse.
What should you insist on before signing for AI calling services?
Before you sign, insist on proof rather than promises: a test call to your own phone, facts locked separately for each project, the billing unit in writing, access to recordings and transcripts, live monitoring with takeover, calling-hour and DND controls, safe write-back to your sheet, and written support response times.
- A test call to your own phone, in your customers' language. Not a recorded demo. Ask it awkward questions, interrupt it, reply in Hinglish.
- One agent per project, with its own locked facts. Early on with Koravi Developers, a plotted-development company in North Karnataka, an agent that loaded facts from several projects mixed up prices and locations between them. We now give each project its own agent and its own locked set of facts. Insist on the same separation.
- The billing unit and minimums in writing. Pulse length, whether unanswered calls are billed, monthly minimums, and how minutes above or below the minimum are handled.
- Recordings, transcripts and summaries for every call, plus a daily report you did not have to ask for.
- Live monitoring. Watching, listening in, whispering to the agent and taking over a call should be possible. See how our live monitor works.
- Calling-hour windows, DND checks and number filters. TRAI's February 2025 amendment to its commercial communication rules tightened action against unsolicited calls, including barring a sender's outgoing services for 15 days on a first violation. Your provider should help you stay on the right side of these rules, not leave it to you.
- Safe write-back. Call results should go into your sheet or CRM without overwriting what your team typed.
- Support response times in writing, matched to how critical calling is to your revenue.
During the test call, say "hello?" halfway through the agent's sentence. If it restarts its whole line, its turns are too long. Short turns cure most repetition, and a provider who has run real Indian calls will know this without being told.
How does a managed AI calling setup work, step by step?
A managed AI calling setup follows a fixed order: gather your facts, write short conversational turns, lock knowledge per project, connect leads and numbers, test with your own team, then go live with monitoring and weekly tuning. The provider does the build; you supply facts and sign off each stage.

- Discovery. We collect your script, FAQs, prices, locations, timings, objections and what counts as a good outcome (a site visit, a demo, a call-back).
- Conversation design. Short turns, one number per turn, the caller's name with "ji" or "avare" rather than assuming gender. Calling a woman "Sir" repeatedly is a real failure on Indian calls, and it is easy to prevent.
- Knowledge lock. Each project or product gets its own agent and facts, so prices never cross over.
- Lead and number connection. Sheets, ad forms, CRM or CSV in; results, appointments and call-backs written back out. Our integrations page lists what connects.
- Testing with your team. Your sales manager calls it, breaks it and tells us what sounds wrong. We fix and repeat.
- Go-live with guardrails. Calling windows, DND checks, India-only number filters, silent-call detection, and a hang-up that waits until the goodbye has finished playing.
- Weekly tuning. We read transcripts, find where callers drop off and adjust the script.
For Koravi Developers this meant agents calling enquiries in Kannada, Hindi and English, booking site visits for a site open Monday to Saturday with pickup from fixed points in town, plus a separate after-hours front-desk line that never gives project details: it only takes the caller's name, interest and preferred call-back time. If you are in property, our real-estate AI calling page shows how that set-up looks.
Common mistakes when buying AI calling services
The common mistakes are comparing per-minute rates without comparing what each minute includes, skipping a live test in your own language, and assuming the provider will know your business facts without being given them. Most disappointments trace back to one of these, not to the AI itself.
- Comparing rates, not bills. Work out a full month: minimum commitment, numbers, extra agents, integrations, GST.
- Testing in English only when most of your leads speak Kannada, Marathi or Hinglish.
- Loading every project into one agent. It feels efficient and causes exactly the price mix-ups described above.
- Not naming an owner on your side. Someone has to answer the provider's questions about prices, offers and edge cases.
- Ignoring inbound. People call back the number that called them. Plan who, or what, answers.
- Skipping the "what counts as success" talk. If you cannot say whether a booked call-back is a win, nobody can tell you whether the calls work.
When are managed AI calling services the wrong choice?
Managed AI calling is the wrong choice when your call volume is tiny, when every call is a complex negotiation that needs a senior person, or when you have an engineering team that wants full control of models and prompts. In those cases a human team or a self-serve platform may fit better.
If you make a few dozen calls a month, a monthly minimum will cost more than the calls are worth. If each call is a high-value, multi-party negotiation, the AI's best role is the first call and the booking, with a person taking it from there. And if you have engineers who enjoy tuning speech models and telephony, our comparison of done-for-you vs DIY AI calling platforms walks through the trade-offs honestly. Frequently asked questions
What is included in a typical AI calling service?
A managed AI calling service should cover building the agent on your scripts and FAQs, setting up languages, connecting your lead sources, assigning phone numbers, testing with your team, running outbound and inbound calls, and giving you recordings, transcripts, summaries and reports. Ask whether changes to the script after launch are included or billed separately.
What costs are usually extra with AI calling services?
Common extras are a one-time setup fee, phone number rental per month, additional AI agents beyond the plan, CRM or software integrations, WhatsApp message charges from your own provider, and GST at 18%. On our plans, for example, numbers cost ₹2,000 per number per month and extra agents cost ₹20,000–25,000 each.
How long does an AI calling setup take?
It depends mostly on how ready your scripts, FAQs and lead sources are. The work runs in a fixed order: collect facts, write the conversation, connect leads and numbers, test calls with your team, then go live with monitoring. Missing project facts or unclear pricing rules slow things down more than the technology does.
Are unanswered calls charged in AI calling services?
It varies by provider, so get it in writing. On DigitalCallers plans, unanswered calls are not billed and answered calls are billed in 30-second pulses. Some self-serve platforms charge per dial attempt or list separate add-on fees, so read the pricing page line by line before comparing per-minute rates.
Can I listen to AI calls while they are happening?
With some services, yes. Our live monitor lets your team watch calls as they happen, listen in, whisper guidance to the agent and take over the call. If a provider only offers recordings after the fact, you lose the chance to step in on a hot lead or correct a mistake in real time.
